Enhance Your Wedding Guests' Experience with CalUp's PDF Attachments

Make wedding planning easier with CalUp's PDF attachment feature. Attach PDF documents to event itinerary items and share information with guests easily.


As we created CalUp, we thought it would be great if a couple or planner could attach a PDF document to a CalUp event itinerary item, in order to easily share information with their CalUp Wedding Guest App users.

We designed this feature so the CalUp Planner account admin can attach and label any PDF document when they are creating (or editing) an event item. Invitees to that event will see the labeled button in their CalUp Wedding Guest App. 

For example, a button labeled “What to Pack” might include a list of clothing and attire to bring for a tropical destination wedding. We’ve seen planners and couples get creative and think outside the box with their CalUp Itinerary attachments.  

Get "PDF Attachment" Creative

Below, we've included some of our favorite ways that planners and couples have used PDF attachments to enhance their guest's and wedding parties' experience:

Wedding Airport Arrivals

For a Wedding Airport Arrivals event, a planner attached an Arrivals Info document that included customs/immigration information, a map of the airport, and detailed instructions on where to meet the resort shuttle (including the color of the arrival team’s orange vest).  Simple information like this can help to take some of the anxiety out of travel logistics for a foreign destination wedding.

Check-In Info

For a Check In & Welcome Reception, a planner attached Check-In Info so that folks arriving early would know the hotel check in hours, where to store their luggage, where to meet other early arrivals and some fun things to do in the area.

Hair & Makeup Schedule

For the Hair and Makeup event, the couple attached the full H&M Schedule so that each applicable member of the wedding party and family would know which stylist they were seeing and when they should arrive for their hair and makeup session.

Wedding Ceremony Vows

For a Wedding Ceremony a couple attached Our Vows so that they could share a written copy of their vows with all the ceremony attendees.

Wedding Reception Playlist

For a Wedding Reception, the Band provided a playlist that the planner attached, so that guests could make requests from all the music the Band had to offer.

Golf Activity - Tee Times

For a pre-wedding Golf Activity, the couple attached the Tee Times/Rules so that each participant knew who they were golfing with, which hole they would tee off from, the rules for tournament and the holes for the longest drive and closest to the pin competitions.

Nature Hike - Flora & Fauna Doc

For a pre-wedding Nature Hike, the couple attached a Flora & Fauna document so that participants would have some reference information for the plants and animals they might see along the hike.

Photo Sequence

For a Post Ceremony Photos event, the planner attached a Photo Sequence photo shoot order list so that folks could be close at hand when they were expected to participate

Attachments vs. Web Links vs. Meet Points

In addition to customizing your event content, you may elect to customize your events with a PDF attachment (described above), a weblink, and/or a Visual Meet Point cue.

The image below shows you how each of these information types are displayed on an CalUp Wedding Guest App event details page, and how they appear to the app user when tapped.

Website Links are generally used as a quick tap link to the couples wedding website, the wedding resort website, or a booking site for resort activities (such as SPA treatments or activities).

Visual Meet Point Cues provide guests with a visual reference of exactly where to meet for an event -  for example, the exact location of the photo shoot (by the fountain), the shuttle bus stop for transportation to/from the Ceremony, or the starting point for a group activity such as a Nature Hike.
